Privacy Policy — MyTankGuy & MyBooksGuy

MyTankGuy and MyBooksGuy are operated by My Guy Enterprises LLC. This policy explains, in plain English, what information we collect, why we collect it, and who we share it with. If anything here is unclear, email contact@mytankguy.com and a human will answer.

Mobile phone numbers and opt-in data are never shared with or sold to third parties or affiliates for marketing or promotional purposes. They are disclosed to the messaging vendors that deliver the texts you asked for, as processors acting on our instructions and under contractual restriction, and for no other purpose.

If you're a homeowner booking a service

We collect: your name, service address, email address, mobile phone number, your payment method (handled by our payment processor — we receive card brand, last four digits, expiration date, payment status, and transaction identifiers, and do not receive or store the full card number or security code), and your service history on the platform (what was done, when, and for how much).

If you request service in an area we don't cover yet, we keep your request — name, contact details, address — so we can tell you when a provider becomes available there, and so we know where to recruit providers.

If you sign a recurring service agreement with a provider, we keep the signed agreement and its signature record: what was signed, by whom, when, and from what device. We keep that record even if the provider later closes their account with us, because the agreement is between you and them and one party leaving should not erase the other party's copy.

If you're a service provider

We collect: your business name and contact details; the accounts of team members you add (owners and crew), including crew mobile numbers you supply for job messaging; your prices, service areas, working hours, and time off; your trucks and, where you provide them, driver license expiration dates; and your license or registration details.

We check license and registration numbers against public records to offer our "Licensed & Verified" badge, and we may display your business name, service area, prices, and verification status publicly.

Payout and identity-verification information — bank account, tax identification, date of birth — goes directly to Stripe under Stripe's own privacy policy as part of their identity requirements. We don't store it.

Crew members: if your employer entered your number and you confirmed it, we hold your name, role, mobile number, and the job messages sent to you. You can stop those messages at any time by replying STOP.

If you arrange service for a property you don't own

If you are a real-estate agent, property manager, landlord, tenant, or anyone else arranging service for someone else's property, we collect: your name, business name and contact details, the properties and bookings you arrange, and the contact information you give us for the owner or occupant who will approve and pay for the work.

We contact that person directly. They receive a link from us to review the booking, accept the terms, confirm their own mobile number, and save a payment method — and no booking exists until they do. Their acceptance and their payment details are theirs, not yours: you can see the status of a booking you arranged, but not the owner's payment information, service history, or records unrelated to it.

We rely on your representation that you had that person's permission to give us their contact information.

If you use MyBooksGuy

We collect and store the financial records you create or import: transactions, categories, invoices and their payments, customers and their contact details, products and services, loans and equipment, mileage, and the financial statements you upload when importing your history. We also store receipt photos and documents you upload, and file attachments you add to customer or invoice records.

Bank connections are read-only. If you connect a bank account through our payment processor's bank-connection service, we receive transaction details, balances, and account identifiers so transactions can be categorized. We cannot move money in or out of your account. You can disconnect at any time.

Taxpayer identification. If you supply a taxpayer identification number, we store a one-way cryptographic representation of it plus its last four digits — enough to recognize a repeat business, never enough to reconstruct the number.

Backups you download are generated on request and delivered to you; where we retain a copy to make a restore reversible, it is held in private storage and deleted on the schedule described below.

Accountants you invite see the company's books at the permission level you grant, and nothing outside it. You can revoke access at any time.

If your business is in our provider research list

To find septic service businesses to invite onto the platform, we compile business information from public sources — state and county licensing rolls, public agency records, and business websites. This is business contact information (company name, business address, business phone, licensing status), not personal consumer data. If we mail you an invitation, the code printed on it records that it was scanned and which business it belonged to, so we know our mail arrived.

This information is publicly available business-to-business data, not personal consumer data. The scan codes are used solely for internal logistics — measuring whether our mail arrived and which businesses responded. They are not used to build behavioral profiles and are never used for third-party advertising.

You can ask us to remove your business from this list at any time — email contact@mytankguy.com and we will delete the record and stop mailing you.

Why we collect it

  • To create and manage bookings, and to let providers do the work (they need the address to drive there)
  • To send appointment notifications — confirmations, changes, receipts — and service-due reminders where set up
  • To send job-related messages to the crew members a provider designates
  • To charge the agreed price after a job is completed, and to pay providers
  • To keep bookkeeping records, categorize bank transactions, and produce financial statements and lending packages at your request
  • To verify provider licensing and to display verification status
  • To respond to payment disputes and chargebacks, and to prevent fraud
  • To bring providers to areas that don't have one yet
  • To let an authorized third party arrange service for a property owner, and to reach that owner for their approval and payment

Who we share it with

Only who's needed to deliver the service you asked for:

  • The service provider matched to your booking — name, address, phone, email, and job details. If your booking is re-matched to a different provider, or you book a new one, that provider receives the same details.
  • Stripe — to process payments, verify provider identities, connect bank accounts (read-only), and handle payment disputes.
  • Email and SMS delivery vendors — as processors acting on our instructions, solely to deliver the messages described above.
  • Cloud hosting, database, and storage providers — the infrastructure the platform runs on, acting as processors under contract.
  • Card networks and banks — if a payment is disputed, booking records and evidence of service may be shared to resolve it.
  • Accountants and bookkeepers you invite, at the access level you grant.
  • AI service providers, as processors, to read receipts, statements, and documents you upload and turn them into bookkeeping entries. This processing happens to deliver the feature you asked for; your data is not used to train third-party models. We contract for this on enterprise/API terms rather than consumer tiers specifically so that training on your data is prohibited by the vendor agreement, not merely by preference.

We do not sell your personal information. And to repeat the commitment above: mobile phone numbers and opt-in data are never shared with or sold to third parties or affiliates for marketing or promotional purposes.

Aggregated and de-identified information

We may create and use aggregated or de-identified information — statistics that do not identify you, your household, or your business. Examples: average pricing by region, how long bookings take to fill, how many homes in a county have a septic system, or how the Platform is performing overall. We use this to improve the Platform, plan where to recruit Providers, and describe our business publicly.

This information cannot reasonably be used to identify you. We do not attempt to re-identify it, and we require anyone we share it with to agree not to. Aggregated and de-identified information is not personal information and is not subject to the deletion rights described above — deleting your personal information does not require us to unwind statistics it once contributed to.

How long we keep it

  • Homeowner booking and service history: while your customer record is active with a provider.
  • Provider business records: while the account is active, and for a reasonable period after deactivation.
  • MyBooksGuy company data: while the company is active or in read-only status. A company that stays read-only for twelve (12) months is deleted, after at least 30 days' warning and an opportunity to export.
  • Signed service agreements and their signature records: retained for the period stated in the applicable terms, outliving the account of either party.
  • Provider research-list records: until we're asked to remove them, or until they're no longer useful for recruiting.
  • Records we're legally required to keep (payment records for tax purposes) or need to resolve an open dispute are retained regardless.

If you ask us to delete your information, we will, subject to the exceptions above.

How we protect it

Data is encrypted in transit. Access is restricted by role — providers see only their own organization's records, crew see less than owners, accountants see only the companies that invited them. Full payment card numbers are not received or stored in our application databases; card data is collected and processed by our payment processor. Bank connections are read-only and cannot move money. Taxpayer identification numbers are stored only as a one-way cryptographic representation plus last four digits. No system is perfectly secure, but we hold the minimum data the service needs.

Your rights

Depending on where you live, you may have specific statutory rights regarding your personal data. Rather than offering a state-by-state patchwork, we extend the same core rights to everyone, in every state: the right to access the information we hold about you, to correct it, to delete it, to receive a portable copy, and to appeal a decision we make about such a request.

You can ask us to show you the information we hold about you, correct it, or delete it. Email contact@mytankguy.com and we'll respond within 30 days. MyBooksGuy users can export their complete books at any time from settings, including while in read-only status.

To stop text messages at any time, reply STOP to any message; you will receive one confirmation and no further texts. For help, reply HELP to any message or email contact@mytankguy.com. Message and data rates may apply, and message frequency varies by booking activity. Carriers are not liable for delayed or undelivered messages. To stop reminder emails, use the link in the email or contact us.

Cookies

We use the minimum: a session cookie that keeps signed-in users (providers, homeowners with accounts, and accountants) signed in. We don't use advertising or cross-site tracking cookies.

Children

Our services are for adults booking septic services and businesses keeping their books, and aren't directed to children under 13. We don't knowingly collect information from children; if you believe a child has given us personal information, contact us and we'll delete it.

Changes to this policy

If we change this policy, we'll update the effective date at the top. For meaningful changes, we'll notify you by email or in-product notice.
